Status: Permanent Part-Time 3 Days (or Part-Time hours across 4 days a week negotiable)

We're on the lookout for an experienced administrator with a passion for continuous improvement to join our team.
About the Role
As the Administration Team Leader, you will play a central role in driving the efficiency and effectiveness of our reception and administration functions. This leadership position is responsible for overseeing daily operations, providing guidance and support to a dedicated admin team, and ensuring high standards service across governance, compliance, and record-keeping.
You’ll be instrumental in fostering a culture of collaboration and continuous improvement, championing initiatives that enhance service delivery and organisational performance. Your curious mindset will help shape systems and processes that enhance our organisation to continue supporting and empowering individuals to make choices to enrich their lives.
In addition to operational leadership, you’ll provide vital secretarial support to the Kyeema Board of Management. This includes preparing agendas, taking minutes, and coordinating governance activities in close partnership with the Board Chair and Directors. Availability to work outside of regular business hours to attend board meetings and other functions will form a requirement of this role.

Key Responsiblities
- Coordinate board meetings, prepare agendas and papers, record minutes, maintain statutory registers, and support board governance and compliance.
- Providing strong operational leadership and supervision to the administration team by coordinating the day-to-day operations of reception and administration services.
- Drive service excellence by reviewing and enhancing systems and processes.
About You
- Demonstrated experience in administration, governance, or secretarial support, ideally within a not-for-profit or public sector.
- Proven ability to work independently and collaboratively, showing initiative and strong problem-solving skills.
- Excellent organisational and planning abilities, with a talent for managing competing priorities and supporting team performance.
- Strong written and verbal communication skills.
- High attention to detail and accuracy, especially in record-keeping and
 minute-taking.
- Confident using IT systems, with sound digital risk awareness and data management skills.
- Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Sound judgement, integrity, and commitment to confidentiality and ethical standards.
- Willingness to work outside regular hours to support board meetings and other functions as required.
Desirable
- Experience leading, supervising, and motivating a team in a collaborative and inclusive environment.
- Formal qualifications in Business, Administration, Finance, or a related field.
